Vitals is designed to be affordable for churches of any size. Here is everything you need to know about pricing, plans, and managing your account.
We know churches run on tight budgets. Vitals is priced so that tracking your church's health does not compete with your missions budget or your youth camp fund. And we offer a generous free trial so you can make sure it is the right fit before spending a dime.

Every Vitals account starts with a 30-day free trial that includes everything — no credit card required. We want you to explore the full product and make sure it works for your church before you commit.

Church plant special
Church plants under 2 years old qualify for a free year of Vitals. Just reach out to our support team with your launch date and we will extend your account.
Import historical data during trial
Use your trial period to import past data so you can see the full power of year-over-year comparisons before subscribing.
Real-world example: New Life Community signed up on a Monday, imported three years of data, connected Planning Center, and had their whole team on board within a week. By the time their trial ended, they already could not imagine doing Monday staff meetings without the dashboard.
Pricing Overview
Vitals uses simple, straightforward pricing. No hidden fees, no per-metric charges, no surprise overages. Your plan is based on the number of team member seats you need.
What every plan includes
No feature gating: We do not lock features behind higher tiers. Every church gets the same powerful tools regardless of plan size.
Managing Your Subscription
You can upgrade, downgrade, or cancel your subscription at any time from the Settings page. Changes take effect at the start of your next billing cycle.
- 1Go to Settings → Billing.
- 2You will see your current plan, next billing date, and payment method.
- 3Click Change Plan to upgrade or downgrade.
- 4Select the new plan that fits your needs.
- 5Confirm the change. If upgrading, the price difference is prorated for the remainder of the current billing cycle.
- Upgrading
- Takes effect immediately. You are charged the prorated difference for the rest of the current month, then the full new price next month.
- Downgrading
- Takes effect at the start of your next billing cycle. You keep full access to your current plan until then.
- Canceling
- Your account remains active through the end of your current billing period. After that, you move to a read-only state.
Payment Methods & Billing Cycle
Vitals accepts credit cards and debit cards. All payments are processed securely through Stripe — we never see or store your full card number.
- Accepted cards
- Visa, Mastercard, American Express, Discover
- Billing cycle
- Monthly, billed on the same day each month (the day you first subscribed)
- Receipts
- Emailed automatically after each payment. You can also download past receipts from Settings → Billing → Payment History.
- Updating your card
- Go to Settings → Billing → Payment Method → Update Card. Your new card takes effect immediately.
Failed payment? If a charge fails, we will retry a couple of times and send you an email. Your account stays active during this grace period — just update your card in Settings to resolve it.
Adding Team Members
Your plan includes a set number of team member seats. Each seat is one person who can log in to Vitals. Need more? You can add seats anytime from your billing settings.
- 1Go to Settings → Billing.
- 2Under your current plan, you will see how many seats are in use (e.g., “4 of 5 seats used”).
- 3Click Add Seats to purchase additional team member slots.
- 4Select how many seats you need. The cost per seat is shown before you confirm.
- 5Click Confirm. New seats are available immediately and you can invite team members right away from Settings → Team.
Who needs a seat? Anyone who logs in to Vitals needs their own seat — your senior pastor, campus pastors, worship pastor, executive assistant, board members who want view access, etc.
Tip: If you remove a team member, their seat becomes available for someone else. You do not need to purchase a new seat — just reassign the existing one.
Church Tax-Exempt Status
Most churches in the United States are tax-exempt under section 501(c)(3). If your state exempts churches from sales tax on software subscriptions, we can apply that exemption to your Vitals account.
- 1Email support@vitals.church with your church name and tax-exempt certificate (or EIN letter).
- 2Our team will verify your exemption and apply it to your account within 1–2 business days.
- 3Once applied, future invoices will not include sales tax.
Tax exemption rules vary by state. If you are unsure whether your church qualifies, just email us and we will help you figure it out.
When Your Trial Ends
When your 30-day trial ends, your data is safe. Nothing gets deleted. Here is exactly what happens:
- What still works
- You can still log in and view your dashboard, charts, and reports. All your historical data is right where you left it.
- What pauses
- You cannot enter new data, run new imports, or modify settings until you subscribe. Integrations also pause — no new data will be pulled from Planning Center, YouTube, etc.
- Re-activating
- Subscribe anytime and everything picks right back up. Integrations reconnect automatically and any data from the gap period can be backfilled.
We will send you a friendly reminder email a few days before your trial ends so you are never caught off guard.
Cancellation
We hope you stay, but if Vitals is not the right fit, you can cancel anytime. No hoops to jump through, no calling a phone number, no guilt trip.
- 1Go to Settings → Billing.
- 2Click Cancel Subscription.
- 3Tell us why you are leaving (optional, but it helps us improve).
- 4Confirm the cancellation.
- Remaining access
- You keep full access through the end of your current billing period. If you cancel on day 10 of your month, you still have 20 more days of full access.
- Data retention
- Your data is available for export for 90 days after cancellation. After that, it is permanently deleted. We recommend exporting your data before canceling.
- Coming back
- If you resubscribe within the 90-day window, all your data is still there — no re-importing needed.
Common Billing Questions
Can I pay annually instead of monthly?
Not yet, but annual billing is on our roadmap. For now, all plans are billed monthly.
Is there a discount for small churches?
Our base plan is already priced with small churches in mind. And remember, church plants under 2 years old get a free year.
Can I get a refund?
If you are unhappy within your first 30 days of a paid subscription, reach out to support@vitals.church and we will make it right.
Do you offer a nonprofit discount?
Our pricing is already designed for churches and nonprofits. We keep things as affordable as possible for ministry organizations.
Can multiple people share one login?
Each person should have their own account for security and audit purposes. Sharing logins means you lose the ability to track who entered what data.
What happens to my data if I forget to pay?
We retry failed payments a few times and send email reminders. Your account stays active during this grace period. We will never delete your data without warning.
Can our church accountant access billing?
Yes. Any user with the Admin role can view and manage billing settings. You can give your accountant or church administrator Admin access in Settings → Team.
