What is Vitals?

Vitals is a comprehensive church analytics platform that helps you track attendance, giving, engagement, and growth metrics all in one place. Connect your existing tools like Planning Center, and get beautiful dashboards, weekly reports, and actionable insights to help your church thrive.

How do I get started?

Getting started is easy! Sign up for a free trial, connect your Planning Center account (optional), and start tracking your metrics. Our onboarding wizard guides you through setting up your metrics categories in just a few minutes.

Do I need Planning Center to use Vitals?

No! While Vitals integrates beautifully with Planning Center for automatic data sync, you can also manually enter data, import from CSV files, or use our mobile app with AI-powered headcount. Vitals works with or without any integrations.

Is there a free trial?

Yes! We offer a 30-day free trial with full access to all features. No credit card required to start. Church plants (under 2 years old) get Vitals completely free.

Features & Capabilities

What is "contextual attendance"?

Contextual attendance shows you the full picture behind your numbers. See weather conditions, holidays, local events, and other factors that affected attendance. When you see a dip, you'll know if it was snow, Easter break, or the big game in town—not just a number without context.

What is Vitals Review?

Vitals Review is your weekly service debrief tool. After every weekend, your team can:

  • Rate Categories: Score each ministry area (guest experience, kids, worship, parking, etc.) as Focus, Strength, or Tension
  • Keep: Capture what went right so you can repeat it
  • Change: Identify what needs to be adjusted or improved
  • Decide: Track action items and decisions that need to be made

How do capacity gauges work?

Set your room or service capacity, and Vitals shows you visual gauges of how full you are. Color-coded indicators (green, yellow, red) help you see at a glance when you're approaching the "80% rule"—the threshold where guests start feeling uncomfortable and growth stalls. Plan service times, room assignments, and expansion before you hit the wall.

What is AI Headcount?

AI Headcount uses your phone's camera to automatically count people in a room. Just pan across the congregation, and our AI counts heads for you. Perfect for services where you don't have check-in, outdoor events, or quick estimates. Available in our mobile app.

Does Vitals track online/digital metrics?

Absolutely. Connect YouTube, Facebook, Instagram, and Google Analytics to track online views, engagement, website traffic, and social media growth alongside your in-person metrics. See your true reach across all channels.

What AI features does Vitals offer?

Vitals uses AI to help you understand your data faster. Our AI analyzes your metrics and provides plain-English insights about trends, anomalies, and opportunities. No data science degree required.

How does AI Attendance work?

AI Attendance uses computer vision to count people in photos. Snap a picture of your congregation, and our AI instantly counts heads. Perfect for large services, outdoor events, or anywhere manual counting is impractical.

What kind of insights does the AI provide?

The AI analyzes your attendance patterns, giving trends, seasonal variations, and more. It highlights what's working, flags concerning trends, and suggests areas to investigate—all in plain language your whole team can understand.

Does Vitals send automated reports?

Yes! Vitals sends beautiful weekly reports every Monday morning with total attendance, year-over-year comparisons, campus breakdowns, giving summaries, and weekend context (speaker, series, weather). Your entire leadership team stays in the loop without anyone lifting a finger.

Can I get reports in Slack?

Absolutely. Connect your Slack workspace and Vitals will auto-post weekly reports to any channel you choose. Reports include attendance by campus, kids and student breakdowns, giving totals, and year-over-year trends — all formatted and easy to read right in Slack.

What do the email reports include?

Weekly email reports include:

  • Total attendance with year-over-year comparison
  • Adult and kids attendance breakdowns
  • Campus-by-campus numbers with change percentages
  • Student attendance and volunteer counts
  • Weekend context: speaker, sermon series, and weather
  • Same-week-last-year context for comparison
Can I customize who receives reports?

Yes. Any team member can opt in or out of weekly email reports. Slack reports go to whichever channel you configure — post to #leadership, #staff, or a dedicated #vitals channel.

Are monthly reports available?

Yes! In addition to weekly reports, you can enable monthly summary reports that aggregate the full month of data with trends, averages, and month-over-month comparisons.

Planning Center Integration

How does the Planning Center sync work?

Connect your Planning Center account with one click, and Vitals automatically imports your check-in data, attendance records, and people information. Data syncs regularly so your dashboards are always up to date. You choose which locations and services to import.

Does it support multiple campuses?

Yes! Vitals fully supports multi-campus churches. See metrics by campus, compare campus performance, and get a unified view across all your locations. Each campus can have its own dashboard views while leadership sees the big picture.

Can I import data from CSV files?

Yes. If you're migrating from another system or have historical data in spreadsheets, you can import via CSV. Our smart import detects columns and maps them to the right metrics automatically.

What if I have check-in locations that shouldn't count toward attendance?

During setup, you choose which check-in locations roll up to your attendance totals and which stay separate. Volunteer check-ins, first-timer tracking, and special events can be tracked without inflating your attendance numbers.

Mobile App

Is there a mobile app?

Yes! The Vitals mobile app (iOS and Android) lets you view dashboards, enter data, and use AI Headcount from your phone. Perfect for pastors who want to check numbers on the go or enter attendance right after service.

Can I enter data from my phone?

Absolutely. The mobile app makes it easy to enter attendance, giving, and other metrics from anywhere. Use quick-entry for fast input or the full form for detailed breakdowns by service time.

Does the app work offline?

The app caches your recent data for viewing offline. Data entry syncs when you're back online, so you never lose your input even with spotty church Wi-Fi.

Multi-Campus & Teams

How does multi-campus work?

Each campus can have its own metrics, dashboards, and team members. Leadership gets a unified view across all campuses with the ability to drill down into any location. Compare campus performance, share best practices, and celebrate wins together.

Can I control who sees what data?

Yes! Role-based permissions let you control access. Admins see everything, pastors see their areas, data entry staff can input without seeing sensitive metrics like giving. Hide entire categories from specific roles—volunteers don't need to see financials.

How many team members can I add?

Add unlimited team members. Invite your staff, campus pastors, ministry leaders, and volunteers. Everyone gets the access level appropriate to their role.

How much does Vitals cost?

$50 per campus per month. That includes unlimited users, all features, unlimited metrics, weekly reports, and full support. No hidden fees, no per-user charges, no feature tiers.

Is Vitals free for church plants?

Yes! Church plants less than 2 years old get Vitals completely free. We believe in supporting new churches as they get established. Just verify your plant status during signup.

Do you offer discounts?

Yes! Church plants under 2 years old get their first year free. Contact us to learn more about special pricing for your church.

What's your refund policy?

We offer a 30-day money-back guarantee. If Vitals isn't right for your church, we'll refund your payment, no questions asked.

Can I export my data if I cancel?

Absolutely. Your data is yours. Export everything to CSV at any time, including historical data. We'll even help you migrate if needed.

What if I need a custom metric that Vitals doesn't have?

Our metric cards, graphs, and charts are flexible enough to handle the vast majority of churches right out of the box. However, if your church has a truly unique tracking need, we can build custom dashboard metrics tailored to your organization for a one-time fee of $250. Just email support@vitals.church with what you need and we'll get it set up.

Security & Privacy

Is my church's data secure?

Security is our top priority. Vitals includes:

  • Bank-level encryption: All data encrypted in transit (TLS 1.3) and at rest (AES-256)
  • SOC 2 compliant infrastructure: Hosted on enterprise-grade cloud infrastructure
  • Automatic backups: Your data is backed up multiple times daily
  • Role-based access: Control exactly who can see and edit what
  • Audit logs: See who accessed what and when
  • Two-factor authentication: Add an extra layer of security to accounts
Where is my data stored?

Your data is stored on secure servers in the United States with automatic geographic redundancy. We use industry-leading cloud infrastructure with 99.99% uptime.

Do you sell our data?

Never. Your data is yours, period. We never sell, share, or monetize your church's information. Our business model is simple: you pay for the service, and that's it.

What happens to my data if I cancel?

You can export all your data at any time. After cancellation, we retain your data for 30 days in case you change your mind, then permanently delete it. You can request immediate deletion if preferred.

Is Vitals GDPR compliant?

Yes. We comply with GDPR and other data protection regulations. You can request data access, correction, or deletion at any time. See our Privacy Policy for full details.
