Church Attendance Follow-Up, Before They’re Gone

People rarely leave a church all at once. They miss a few weeks, skip their group, stop serving. Vitals watches your Planning Center data for those changes and hands your care team a short list each week: who to call, and why.

Why Follow-Up Falls Through the Cracks

Every church means to follow up. The hard part is knowing who, before it’s too late.

The Back Door Is Quiet

Nobody announces they’re leaving. By the time someone notices a family is missing, they’ve often already found another church.

Reports Arrive Too Late

Pulling absentee lists out of check-in reports takes hours, so it happens quarterly, if at all.

Nobody Owns the Call

A name gets mentioned in staff meeting, everyone assumes someone else reached out, and nobody did.

How Vitals Handles Follow-Up

Built on the Planning Center data you already have. No new forms for your people to fill out.

A Weekly Care List

Vitals learns each person’s normal rhythm across check-ins, groups and serving, and lists the people whose pattern has changed, plus first-time guests and people who came back.

Claim It, Log It

Claim a name or assign it to someone, then log the call, text, visit or prayer. Everyone sees it was handled, so nobody calls twice and nobody gets missed.

Follow-Ups That Come Back Around

Set a follow-up date and Vitals emails a reminder when it’s due. People already under care resurface if nobody has reached out in a while.

Weekly Alerts by Email

Automations like Group Newcomer Never Returned, Group Regular Went Silent and Volunteer Stepped Away email the people you choose every Monday.

What a Week Looks Like

  1. 1

    Connect Planning Center

Vitals reads Check-Ins, Groups, Services and Registrations. Your people don’t do anything differently.

  2. 2

    Open this week’s list

Names come with a plain reason, like a group regular who hasn’t been back in four weeks or a family whose kids stopped checking in.

  3. 3

Make the calls and log them

Claim names, log each conversation and set follow-ups. Optionally, care notes can be copied to the person’s notes in Planning Center.

Frequently Asked Questions

How does Vitals know someone is drifting?
It compares each person to their own rhythm, not a church-wide rule. Someone who comes monthly isn’t flagged for missing two weeks, but a weekly regular who stops checking in, leaves their group or stops serving is.
Does it follow up with first-time guests?
Yes. First-time check-ins flagged in Planning Center show up as New, so your team can say hello, and the First-Time Kid Follow-up automation can email the people you choose each week.
Will pastors see what people give?
No. Giving can affect who rises to the top of the list, but the reason shown to your care team never mentions giving or amounts.
What if adults don’t check in at our church?
Vitals still sees adults through groups, serving, registrations and their kids’ check-ins. Adults with no activity in any of those are marked as untracked rather than guessed at.
Does it change anything in Planning Center?
Vitals reads your Planning Center data. The only thing it can write back is care notes, copied to the person’s notes in Planning Center, and only if you turn that on.
